The ever-increasing and complex demands on the President’s time requires the highest level of executive support. Accordingly, IJM seeks a mature, experienced, and energetic professional to provide administrative and project support that will enhance and maximize the President’s productivity and effectiveness. The President and Executive Assistant will succeed through daily interaction and collaboration to establish shared goals, determine priorities, manage tasks, and generate clear, consistent communication. 

 

This position is based at IJM Headquarters in the Washington, DC metro area and reports to the Global President.

Responsibilities

  • Serve as the primary point of contact for the Global President’s Office internally and externally, communicating questions and concerns appropriately to the Global President;
  • Draft and/or edit correspondence including memoranda, reports, emails, and other documents on behalf of the Global President to ensure excellence in all communication from the Global President’s Office;
  • Capture, transcribe and/or edit meeting minutes, notes or data for the Global President to achieve program goals;
  • Coordinate all logistics for the Global President meeting rhythms, including scheduling, room reservations, technology set-up, staff communication, meal coordination, and procuring necessary supplies;
  • Work with the Coordinator, Strategy & Execution to execute all domestic and international travel for the Global President including transportation, accommodations, scheduling and communication preparation with all responsible parties;
  • Coordinate special events for the Global President as needed;
  • Maintain the Global President’s calendars and all meeting requests, adjusting appointments and time to execute tasks as necessary to facilitate competing priorities; and
  • Develop and maintain a task management system to ensure that the Global President has both the time and materials needed for timely completion of his tasks, including weekly and daily briefing materials.

Requirements

  • A minimum of 5 years of experience providing direct administrative support to a senior executive in a fast-faced professional environment;
  • Superior administrative capacity and ability to manage a large number of detailed projects with minimal oversight;
  • Ability to establish and maintain complex systems and processes to prioritize large volumes of information;
  • Extensive experience managing the schedule and travel advance work for an executive.
  • Strong ability in writing and editing executive correspondence; and
  • Meticulous attention to detail and disciplined with priorities.
