The Need

This position is to support the 2018 Gathering taking place September 28th- October 5th, 2018. This will be the largest gathering of IJM staff, and the events team will be responsible for all logistics, travel, experience, programming and volunteers for all events related to this project. The goal of this event is to worship God for the miraculous work over the last 20 years, to love one another, connect and provide delight for the IJM staff.

This role is primarily in support the Global Travel project of brining the 1,000 person global team to the event, and the Operations Manager with logistics for the event. This will include project management support, supporting specific projects. Specifically with the Global Travel project supporting multiple field offices in obtaining visas for travel and preparation for arrival.

 

Responsibilities

Pre-Event:

  • Coordination of meetings and detailed follow up with leaders/key project contacts of action items post meetings. Thorough note taking during event meetings and phone calls;
  • Support of event operational support projects;
  • Global Travel Project;
  • Operations (Logistics, Speakers, Catering, Housing, Event Staff Logistics, Info Services, Finance, Communication and Child Care);
  • Provide weekly updates to Manager of all projects in progress;
  • Support field office staff through pre event season;
  • Support gathering of reporting information for all key presentations;
  • Attendance of all major event meetings and support follow up with Manager; and
  • Support the coordination and execution of calls with all Field and Partner Offices.

While Onsite At The Event:

  • Support event operations and be a key point of contact for IJM staff;
  • Support the Event Director and Operations Manager with event schedule and needs; and
  • Coordinate with key event contacts and security team as liaison.

After leaving the 2018 Gathering:

  • Provide all event debrief materials for role specific projects;
  • Provide all receipts for expenses and budget reporting; and
  • Ensure all emails have been answered for event needs.
