The Need

This position will be responsible for supporting the Chief People Officer with a wide range of high-level administrative support and will handle communications as a point of contact for division-specific information. This role operates in a fast-paced, high stress, and dynamic environment, and it maintains and enhances high levels of support in wake of increasing levels of complexity and a growing scope of coverage and sophistication. This position also requires constant interaction with the Executive Management Team to resolve a variety of issues in order to meet the growing needs of IJM. We are looking for an individual who has high attention to detail, the ability to manage many different tasks simultaneously, and is skilled at organizing and prioritizing work effectively.

Responsibilities

Operations and Project Support

  • Serve as the primary point of contact for the CPO and People Operations division internally and externally, communicating questions and concerns appropriately to the CPO; 
  • Monitor People Operations projects and communications to ensure global staff are taken care of, deadlines are made, and all details are aligned with the divisions’ goals; 
  • Plan logistics for People Operation’s meetings, info sessions, and recognition routines; 
  • Draft and/or edit correspondence including memoranda, reports, e-mails, presentations, and other documents on behalf of the CPO to ensure excellence in all communication from People Operations; 
  • Flag and ensure follow-up on significant pieces of e-mail and other correspondence, working with others in the organization to assure timely follow-up; 
  • Act as a member of the People Operations Leadership Team to provide insight, organize meetings, and assist with strategic initiatives in building out processes to build and scale a thriving international team; and
  • Along with the other members of the Executive Department, model excellence and professionalism for the organization in attire, language, attitude, and demeanor.

Time Management and Coordination

  • Ensure maintenance of CPO’s calendar based on agreed upon priorities including scheduling time for essential tasks and using discretion to make tradeoffs when there is more to be done than time available; 
  • Coordinate with others in the organization to help secure in advance materials necessary for the CPO to accomplish goals with various departments and staff members;
  • Track CPO’s Office deadlines based on agreed upon priorities and deadlines assigned by other entities; and
  • Advance action items for the CPO’s weekly meetings with her direct reports, senior leadership meetings, Board meetings and other meetings as needed.

Finance & General Administration

  • Maintain and manage all finance forms related to CPO’s Office and People Operations expenses;
  • Orchestrate all travel advance work for the CPO, including research, travel arrangements and coordination of event logistics (Note: this occasionally requires availability during evenings and weekends);
  • Compile, organize and maintain confidential physical and electronic documentation for meetings, speeches, projects, reports and office archives; and
  • Serve as a contributing member of the Business Administration Team by attending meetings and retreats and serving on related project teams.

 

Requirements

Required Skills and Experience

  • Bachelor’s degree or any equivalent combination of education, experience and certification 
  • Minimum of four years of experience providing direct administrative support to a senior executive in a fast-paced professional environment;
  • Superior administrative capacity to, with minimal oversight, multitask and manage a large number of detailed projects and establish and maintain complex systems and processes to prioritize large volumes of information;
  • Extensive experience managing the schedule, being flexible with last-minute changes, and conducting travel advance work for a frequently traveling executive;
  • Exemplary written and oral communication, including experience with editing executive correspondence;
  • Proven success in managing complex internal and external relationships where tact, discretion, and diplomacy are essential;
  • Demonstrated ability to earn and maintain trust in working relationships with regard to confidential and sensitive information;
  • Experience simultaneously manage multiple projects with tight deadlines in a fast-paced professional environment; 
  • Adept at providing quality customer-service to a variety of constituencies; and
  • High level of proficiency with Microsoft Office (including Word, XLS, PPT), experience with Microsoft Outlook and Microsoft SharePoint strongly preferred.
