The Need

The HR Systems, Senior Program Manager is responsible for developing and implementing division-wide systems that will provide a strong foundation and catalyst for fueling IJM’s mission. In particular, this person will manage the global implementation of the organization’s new Workday-based Human Capital Management (HCM) system and other related systems as determined.

Responsibilities

Lead the Global Rollout of IJM’s Workday (HCM & FIN) platform (next 2-3 years)

  • Working alongside the CPO and CFO, conduct an extensive gap analysis and process re-design of IJM’s global HR and FIN business processes;
  • Ensure the effective use of 50+ functional and technical resources across the global organization to speak into process re-design, as well as Workday system design, testing and training;
  • Ensure the global rollout project on-time and on-budget through effective management of project schedule, risks, issues and changes;
  • Implement effective change management and communication strategies to ensure the successful Workday system adoption for all IJM’s global employees (750+ users);
  • Facilitate the monthly Global Workday Advisory Team to ensure effective CFO & CPO decision-making throughout the project;
  • Coordinate the work of contractors and implementation partners as needed; and
  • Manage the successful implementation of the entire Workday system, through planning, design, configuration, data migration, testing, training, and deployment phases at each country and field office location.

Optimize and maintain the Global HCM System (ongoing)

  • Ensure the HCM system is effectively designed to represent new HR business processes and is successfully configured, tested, and deployed to Headquarters and in each country and field office location;
  • Manage a product team of HRIS system analysts, HR subject matter experts, helpdesk and integration resources in an agile environment through the entire System Development Life Cycle (SDLC);
  • Lead regular coordination meetings with HR business super-users and leaders to prioritize enhancement requests, increase data quality, and improve system usage;
  • Serve as a resource for People Operations business process owners to design the system according to requirements and find solutions for continuous improvements;
  • Successfully project manage HR annual events (benefits open enrollment, performance reviews, etc.) such that they meet all functional and technical requirements and are delivered on time;
  • Escalate prioritization or decision-making requests to executives as needed;
  • Develop and execute an effective change management and communication plan that leverages and empowers stakeholders to ensure successful system adoption;
  • Oversee the HCM technology budget;
  • Manage all HCM technology vendor relationships, including contract negotiations, integrations, data transfers, and ongoing feedback for continued improvements;
  • Maintain an active network of Workday and HCM professionals for reach back support;
  • Oversee existing system support by working collaboratively with GTS, People Operations, Finance and Payroll teams to provide effective support to end-users, identify enhancement requests, develop product roadmaps, coordinate releases, and provide effective and ongoing system training;
  • Develop training—both immediately upon roll-out and ongoing—to equip People Operations stakeholders for efficient use of the system and
  • Directly manage a team of 2.5 HRIS Systems Analysts and eventually, 4 additional regional Workday business analysts

Develop and Manage the Technology Roadmap for the People Operations Division (ongoing)

  • Work with the Chief People Officer to understand the trajectory of the Division’s strategy and proactively identify Workday system enhancements - as well as entirely new technology products such as Talent, Learning Management, Applicant Tracking, and Content Management systems – to facilitate that strategy;
  • Engage with People Operations senior management to gain consensus on the vision and requirements for specific new modules, systems or products. Develop the business case, key performance indicators, project charter, schedule and budget to ensure business values are satisfied by each new major addition.
  • Provide evaluations, demonstrations, and analysis before new HCM modules and/or systems are selected;
  • Identify and manage the implementation of new systems and major enhancements through the SDLC phases of design, configuration, data migration, testing, training, and deployment, using an agile approach to whenever possible;
  • Coordinate data migration, data validation, testing, and training with business partners for new enhancements and applications;
  • Ensure the successful integration of new systems with existing Enterprise Applications;
  • Lead review sessions with People Operations stakeholders to identify areas improvement for systems;
  • Assess IJM’s enterprise technology platforms to ensure they leverage human-centered design values to support Division objectives;
  • Provide effective change management and communication to all stakeholders to ensure their active participation and ownership of the People Operations technology eco-system.

Requirements

Job requirements

  • 10-15 years of work experience, with a minimum of 7 years of project management experience in technology system management and implementation; or any equivalent combination of education, experience and certification
  • Bachelor's degree in relevant field; Master's degree preferred;
  • PMP, Scrum, and PROSCI certifications preferred;
  • Experience managing teams of HRIS professionals;
  • Experience leading complex, global technology projects;
  • Proven ability to conduct gap analysis and effectively re-design business processes;
  • High level of familiarity with Workday HCM and/or other top-tier HR platforms required;
  • Familiarity with functional HR business processes, such as payroll, benefits, time tracking, on-boarding, off-boarding, talent management, etc.;
  • Ability to travel internationally required (20% travel anticipated for initial 2-3 years);
  • Exceptional communication skills and the ability to explain complex, technical information to a lay audience in a simple, concise manner.

Supervision

  • This position will be responsible for directly managing 2-3 HQ-based Workday HCM/PAY systems analysts, with a possibility of up to a group of 4 Workday business analysts embedded in the region, in the future (2018-2019)
